Document Imaging Specialist
Seeking an accomplished Document Imaging Specialist with over 5 years of experience in leveraging advanced scanning equipment and software to convert physical records into efficient, searchable digital formats. Proficient in using advanced scanning equipment and software to convert physical documents into digital formats following NARA requirements. Demonstrates a deep understanding of NARA (National Archives and Records Administration) requirements for digitization, ensuring compliance with archival standards. Implements strategies for preserving the integrity of digital images over time
Key areas of expertise include:
- Advanced Scanning & Digitization: Skilled in using state-of-the-art imaging technology to digitize diverse documents, including legal, historical, and confidential materials.
- Metadata Management: Expert in associating accurate metadata with digitized images, ensuring they are indexed for optimal searchability, retrieval, and long-term preservation.
- Collaborative Solutions: Proven ability to work closely with IT teams and Records & Information Management (RIM) professionals to integrate imaging solutions within enterprise workflows.
- Digital Preservation: Implementing strategic solutions to ensure the long-term integrity and security of digital images, maintaining the authenticity and reliability of archived data.
- Process Optimization: Adept at designing and refining workflows to streamline the document digitization process, improving efficiency and scalability.
- Strategic Consultation: Collaborate with the Bureau to identify opportunities for strategic improvement within the RIM programs. Provide expert guidance to streamline records management processes and ensure alignment with organizational goals. Collaborates with IT and the RIM team to integrate imaging solutions.
- Program Optimization: Conduct in-depth assessments of existing records management practices, develop tailored recommendations, and help implement solutions to enhance efficiency and compliance across the organization.
- Policy Development: Design and implement records management policies that are aligned with regulatory requirements, industry standards, and the unique needs of the agency. This includes developing policies on records classification, retention, and overall program governance.
- Stakeholder Education: Educate internal stakeholders, including staff and management, on the importance of effective RIM practices. Demonstrate how proper records management contributes to improved organizational efficiency, data security, and regulatory compliance.
- Technology Implementation: Lead the adoption and optimization of Microsoft Purview/Records Management or equivalent records management solutions. Assist in the configuration and implementation of these systems, ensuring that the organization benefits from the latest technological advancements in records management.
Required Qualifications:
- Must have at least 5+ years of experience in imaging technologies, specializing in efficient digitization, metadata organization, and strategic workflow integration.
